Getting Started with WorkspaceBuilder

WorkspaceBuilder is a Low-Code / low-code platform that lets you build custom forms, automate workflows, generate PDFs, and manage your entire team's operations — without writing a single line of code.

Set up your workspace in 3 steps

Step 1 — Create your organization

Sign in at app.workspacebuilder.com and create your workspace. Your organization is the top-level container for all your projects and users.

  • Give your organization a name and logo
  • Configure your workspace settings (address, contact info)
  • Customize the sign-in experience with your brand colors

Step 2 — Invite your team

Go to Workspace Settings → Users and invite team members by email. You can:

  • Assign organization-level roles (Admin, Designer, User)
  • Upload a CSV for bulk invites
  • Set project-level permissions independently from org roles

Step 3 — Build your first form

  1. Create a Project (a module that groups related forms together)
  2. Inside the project, click Create Form and choose a form type:
    • Classic Form — single-page, standard layout
    • Wizard Form — multi-step guided experience
    • PDF Form — generates a print-ready document
    • Dashboard — analytics canvas with charts and KPI cards
  3. Drag components from the left panel onto the canvas
  4. Configure validations, conditions, and logic in the Configure tab
  5. Set up automation triggers in the Workflow tab
  6. Click Share to get a public link or embed code

Core concepts

Design Mode vs. User Mode

WorkspaceBuilder has two distinct interfaces:

  • Design Mode — where Admins and Designers build and configure forms. Access it from the dashboard.
  • User Mode — the clean, end-user-facing interface for filling and submitting forms. Users see only what they have permission to access.

Projects and Forms

A Project is a logical container (like a folder) for related forms. For example, an "HR" project might contain Leave Request, Onboarding Checklist, and Exit Interview forms.

Each form inside a project can have its own:

  • Visibility rules per role
  • Workflow triggers
  • PDF output template
  • Share / embed settings

Role-Based Access Control (RBAC)

Every user in WorkspaceBuilder has a role at the organization level and optionally a role at the project level. Roles determine:

  • Which projects a user can see
  • Which forms a user can open
  • Whether a user can submit, view, or edit form data
